Show the result first
Display an actual approved finished item where approaching guests can see it. A photograph of the method is less useful than a sample of what this event offers. Keep the artwork labels on the sample, order process and pickup record consistent.
Explain the choice
Tell guests which item, design and placement options are available before they reach the production counter. If there is a limit per person or a specific eligibility rule, the host should communicate it clearly. Avoid asking the crew to negotiate unclear event policies during a busy period.
Separate collection from ordering
Use simple language for the pickup point and explain how a guest will recognize their order. At a reception, guests may move between several activities. A consistent order reference is more reliable than expecting everyone to remain beside the station.
Illustrative planning scenario
Example: an attractive sign omits the participation rule
Guests see the product display but cannot tell whether they can select one item or several. The crew repeatedly explains the allocation while new arrivals wait. Add the host’s approved rule beside the choices so the process is understandable before ordering.
A working decision sheet
Signage should answer the questions that otherwise repeat at the counter. Keep the visual language consistent with the event, but give practical information enough space to be legible. Review signs with the person who manages guest participation and with the crew who fulfills orders. Neither team should discover conflicting instructions after the event opens.

Put it into your brief
- What question would a first-time guest ask before joining?
- Which participation rule needs to be visible?
- How will signs change when options are unavailable?
Use these questions to record the decisions you already know and identify what needs review. Keep the brief with the current product specifications and event documents.
